Partial Network Service Restoration – August 18, 2025

Overview

Information Technology Services (ITS) has restored network connectivity to the 3rd floor of the Humanities and Social Sciences (HSS) building following the outages caused by scheduled power work over the weekend. However, network service is still unavailable on the 2nd floor of the Fine Arts building, and troubleshooting efforts are ongoing.

 

What to Expect

  • Network services (wired, wireless, and VoIP) have been fully restored in the HSS building.
  • Network service in the Fine Arts building (2nd floor) remains offline as we continue to diagnose and address the issue.
  • ITS will continue troubleshooting this evening and provide an update tomorrow morning with the latest status and expected timeline for full restoration.

Ongoing Network Outages – August 18, 2025

Overview

Information Technology Services (ITS) is currently addressing network outages affecting parts of campus. The most significant impacts have been reported on the 3rd floor of the Humanities and Social Sciences (HSS) building and the 2nd floor of the Fine Arts building. Other buildings may also be experiencing intermittent network issues, and we are continuing to assess the full scope.

 

What to Expect

ITS is actively working to identify and resolve all affected areas and restore network connectivity as quickly as possible. 

Please note the following impacts in affected areas:

  • Hardwired and wireless internet service will be unavailable until the network hardware has been replaced.
  • VoIP phones in the listed locations will not function until the network has been restored.
  • Full restoration of network services is expected to take approximately 8 hours.

Network Downtime Notice – Friday, August 15 to Saturday, August 16, 2025

Overview

The university will conduct a scheduled power redundancy test on Saturday, August 16, 2025, from 7:00 a.m. to 3:00 p.m. To protect critical equipment from potential power surges during the test, most campus network switches will be powered down starting at 6:00 p.m. on Friday, August 15.

 

Internet and network services (wired and wireless) will not be available from Friday, August 15 at 6:00 p.m. until Saturday, August 16 at 3:00 p.m.

 

The campus data center will remain operational during the maintenance window.

 

Benefit

This preventive measure helps avoid failure of the power supply units in network switches and ensures the long-term reliability of the university’s network infrastructure.

 

 

What to Expect

  • No access to campus internet or Wi-Fi during the downtime window
  • No access from campus to campus-hosted systems and services (including file shares, printers, and some VoIP phone services) 
  • Restoration of network services is expected by 3:00 p.m. on Saturday, August 16

Campus Solutions (CS) 9.2 & Human Resources (HR) 9.0 Production Downtime – Friday, August 15, 8:00 p.m. to Midnight

Overview

The Chancellor's Office (CO) has scheduled a maintenance downtime window for campus PeopleSoft platforms, Campus Solutions (CS) 9.2 and Human Resources (HR) 9.0. The downtime will occur on Friday, August 15, from 8:00 p.m. to midnight, during which the CO will apply a maintenance pack upgrade.

 

Benefits

Enhanced Student Identification:
Project Rebound will be added to the CO’s official reporting files to identify participating students.

Improved Data Privacy:
Social Security Numbers (SSNs) will be removed from APDB files.

Streamlined Data Management:
Introduction of the Job and Position Mass Data Upload tool, allowing campuses to:

  • Efficiently update large volumes of job and position data
  • Use a validated CSV file
  • Reduce manual effort and ensure data consistency

Monthly Windows Update- Saturday, August 16, 2025, 6 p.m.-midnight

Overview

Information Technology Services (ITS) will apply monthly Windows security and critical updates on Windows servers on Saturday, August 16, 2025, from 6 p.m. to midnight. The latest Windows security patches fix vulnerabilities and errors in Windows and associated software, reducing the risk of exploitation by malware or hackers. 

 

What Can You Expect

During the maintenance window, users may experience a brief loss of service while each server reboots. Each server will be unavailable for less than 10 minutes during the maintenance window.

Oracle Database Maintenance – August 15–16, 2025

Overview

Information Technology Services (ITS) will apply a critical Oracle patch to the OIMPRD and IRDMPRD databases from Friday, August 15, at 5 p.m., through Saturday, August 16, at 5 p.m. These essential security updates will help protect SFSU data and maintain system integrity. During this maintenance window, all services connected to the Oracle databases will be unavailable. 

 

Benefits

Upgrading the OIMPRD and IRDMPRD databases will strengthen security and ensure continued protection of SFSU data.

A campus-wide initiative to identify, categorize, and remediate PDFs hosted on SFSU's Drupal websites to ensure accessibility compliance with WCAG 2.1 AA and Section 508.
Component

Overview

Intended Audience: SFSU Website owners, editors and content creators

The D-PAR project is in response to the US Access Board’s January 2024 update to Section 508 of the Rehabilitation Act of 1973. The Web Content Accessibility Guidelines (WCAG) Version 2.1, Level AA is the technical standard for state and local governments’ web content and mobile apps. Documents subject to accessibility requirements under ADA Title II (public services) and ADA Title I (employment practices), and must conform to WCAG 2.1 Level AA by April 24, 2026. 

Monthly scans run by ATI will be used to locate documents that need to be remediated. Each month, a report will be sent to all website managers who have inaccessible PDFs on their websites. Website owners are instructed to:  

  1. Remove unneeded and out of date PDFs 
  2. Archive any historic or reference documents 
  3. Remediate PDFs that need to remain on their website 
  4. Replace inaccessible PDFs with remediated versions

Project Updates

For August and September 2025, the focus of the project will be on archiving inaccessible content that will not be updated or referenced in the future. For steps to achieve content in Drupal, please see the Web Accessibility Guide.

Before you start you'll need the following:

  • Drupal editing permission for your website
  • A download of the most recent Web Accessibility scan from ATI.  To have the monthly report sent to you, email access@sfsu.edu.
  • An Equidox account, ATI's recommended PDF remediation program. To request access to Equidox, email access@sfsu.edu.
  • (Optional) A PDF accessibility checker, if you would like to check documents yourself. ATI recommends the free program, PAC.

Comprehensive Report

A comprehensive html report is available for download via Box and emailed to our mailing list each month, to get the monthly report sent to you, email access@sfsu.edu.

Individual Site Reports

Individual site Drupal PDF Scans are available in Box. For more information, please refer to the "Understanding the Report" section on the ATI website.

In some cases, it may be more practical to remove or replace a PDF rather than remediate it. 

Removing PDFs

  • Outdated Content: If the PDF contains outdated information or is no longer relevant, it may be best to remove it from the website.
  • Broken Links: If the PDF link is broken or the document no longer exists, update or remove the link from your site to improve user experience.

Replacing PDFs

  • Alternative Formats: Consider using alternative formats such as HTML pages or Qualtrics/Drupal forms, which are inherently more accessible and easier to maintain.
  • Updated Documents: If you have an updated version of the document, ensure it is accessible before uploading it to replace the old version.

Deleting files from Drupal 

After removing or moving a file from Drupal into Box, it is good practice to delete the file from Drupal. This helps avoid confusion when grabbing a link to a file. 

Step One: Hover over "Content" and click on "Files"

Step Two: Find the file you'd like to remove and click on the "Delete" button on the right hand side

Step Three: Confirm that you would like to delete the file on the next page

Archive Conditions

A PDF can be archived if all four conditions are met:

  1. It was created before the April 24, 2026 compliance deadline, and
  2. It is kept only for reference, research, or record-keeping, and
  3. It has not been modified or updated since being archived, and
  4. It is clearly marked as archived, please see below for guidelines.

All PDFs created after April 2026 must be accessible and archived content must made accessible upon request. Archived documents must remain inactive and should not appear in current navigation, homepage links, or service pages.

Marking PDFs as Archive

  1. Being stored in an “Archive” section or page on your website (See Examples 1 and 2 below)
  2. Have all file file names end with “Archive” e.g. Flyer2017-Archived.pdf
  3. Moved into an dedicated archive box.com folder and labeled as archived
  4. Include the following text on your webpage that contains archived content: 

Archived Content: This content is no longer maintained and may not meet current accessibility standards (WCAG 2.1 AA). It has been archived in accordance with the Archived Web Content exception defined in ADA Title II, 28 C.F.R. § 35.104. To request an accessible version or an equally effective alternative format, please email service@sfsu.edu.

When to Remediate

PDFs hosted on a public-facing SF State website must be remediated to meet WCAG 2.1 AA accessibility standards under ADA Title II or Section 508. For more details on remediation, please see the D-PAR PDF Decision Checklists.

This update introduces a new process to load final high school data from the CaliforniaColleges.edu (CCGI) platform and a new Admissions Evaluation page. Campus users can utilize this page to review and verify the CCGI final high school data before posting or populating it into the College Preparatory Semesters fields on the ERS subpage and the Education page. The Admissions Evaluation page also serves as a manual worksheet to support the admissions evaluation process for first-time freshman applications. Campuses can create various worksheet types to align with the different evaluation stages used throughout the admissions process.
